Print Results

To Print your results, Select the "Print Results" option from the "File Menu" (Quick Key Press CTRL + P), or click on the Print Button on the Main Toolbar.

On the Print Results screen, you can choose options to print 28 different test reports. Select the report you want and click on the Print button to send the report to the printer. Clicking on the Cancel buton will close the Print Preview Screen.

Note!

When previewing larger reports (SimplyPats can now store up to 20,000 test results in a single customer file and so produce reports which are many hundreds of pages long) SimplyPats may take some time to calculate and display the preview of the report. During this time you will see the following animation advising you to wait as the process is underway.

Fails Report

Print's only the failed tests. You can choose whether the tests are printed in Red Ink (If you have a colour printer) and whether or not the reason why the appliance failed, or if further action is required (if you have completed the Fail Reason field for each failed appliance). To set the style of the fail report, use the "Print Setup" command from the "File Menu".

Pass Report

This prints only the passed tests in your file, remember you can select a combination of individual site or location, or all sites and all locations. To set the style of the Fail Report, use the "Print Setup" command from the "File Menu".

Pass and Fails Report


This prints all the tests in your file, both passes and fails. Again, as in the Pass Report and the Fail Report, you can select an individual site or location, or all sites and all locations. To set the style of the Fail Report, use the "Print Setup" command from the "File Menu".

Appliance Register With Status

This report prints a simplified register of appliances, by Site and Location order, with no test data but includes Appliance Id, Appliance Description, Test Date, Retest Date and Status. The status is either PASS if overall the Appliance Passed, or FAIL if the appliance failed on any one test.

This report is useful to give to a client to show them when their retests are due. Clients also might like such a report for accountancy or insurance reasons as a record of their assets.

Current Appliance

This report prints the current selected appliance from the Main Screen in full detail on a single sheet of A4.

1 Appliance Per Page

This report prints the all the appliances in your file on single sheets of A4. Becareful if you have a large number of appliances in your file, you will need the same number of sheets of A4 paper!

Certificate

This report prints a picture certificate of testing. See Also Print Certificate

Appliance Register By Site

This report prints the register of appliances but grouped by site and location.

Retests Grouped By Date

The Retests Grouped By Date report allows you to print a list of Appliances Grouped according to their retest date.

Labels

The Labels report is designed to facilitate the printing of Appliance Id labels. A custom report is always require with this report since all label dimensions are differenet and you may wish to have specific text or graphics on the labels.

Excel or CSV Export

The Excel or CSV report is designed to allow the export of test data for use in third party programs or for input into a database or spreadsheet. Again this report may be used in conjunction with a custom report to allow just a selection of data fields, or to order the data fields in a specific sequence.

Simplified Passes And Fails

The Simplified Passes and Fails report contains all the appliances grouped by location. Just a small set of information is displayed containing the Appliance id, Appliance Description, Test Date, Load, Insulation, Leakage and Earth Continuity Values and an overall Pass or Fail status.

Microwaves

The Microwaves report contains all the Microwave test results, the appliances grouped by site and location. The Microwave Leakage Result and Pass / Fail Status are shown.

RCD's

The RCD's report contains all the RCD test results, the appliances grouped by site and location. The RCD Trip time result and test output in mA as well ass the RCD Pass / Fail Status are shown.

Detailed Passes And Fails

The Detailed Passes and Fails report contains all the appliances grouped by location. A comprehensive set of information is displayed containing the Appliance id, Appliance Description, Test Date, All Electrcial Tests as well as Class, Fuse Rating, Appliance Serial Number, PAT Tester Serial Number, Engineer etc, and an overall Pass or Fail status.

Note this report is so detailed that only approximately 5 appliances are shown on each page. Whilst fine for producing Adobe Acrobat (tm) PDF documents, printing this report with larger files will consume alot of ink and paper.

Folder Cover

Designed to be used as a front page for presentation of the above Reports. Titled "Portable Appliance Testing Report" Contains the following information; Company Name, Date of First Test, Order Number (stored in the Customer Details screen under Order No), Account Number (Customer Details screen under Notes) and the Customers Contact Name.

Photos

This report prints out all those appliances that contain photos with their photograph and any notes relating to the photo. The report is formatted as 2 columns to save space.

Guidance

Portable Appliance Test Reports Guidance Notes - The purpose of this report is to outline to your customer or end user of the Pat Testing reports the way in which you have conducted the Pat Testing. It may also contain notes on recommended re test frequencies, risk assessment or contractual terms.

This document is written in Rich Text Format and can be edited by Microsft Word ™

It is stored in C:\Program Files\SimplyPats 6\Word Documents\guidance.rtf

You can use different fonts, bold, italic and bullet points in your document. When saving the document from Microsoft Word ™ make sure you select the Save As Type drop down box and select Rich Text Format (*.rtf)

Version 2 Reports

In SimplyPats Version 6.0.7 and above, a further suite of 18 reports has been added. Some of these reports are a reworking of the same reports outlined above, however they contain a signature image on the report header and coloured separators in the sections of the report.

The list of version 2 reports are:

Print Selected

If you have highlighted a range of test results on the Main Screen, when you click on the Print Button a message will appear asking if you want to print just the selected records.

Remember if you want a draft grid print of the current records, you can also choose "Print Grid Selected" from the "Tools" menu.

Options

All Sites

If this box is ticked then the reports printed will contain all the tests whatever their site. If you remove the tick then a combo box will appear below where you can select just the site you want to print.

All Locations

If this box is ticked then the reports printed will contain all the tests whatever their location. If you remove the tick then a combo box will appear below where you can select just the location you want to print.

Selected Retest Dates

When selected two date picker options will be displayed. By selecting From and To dates the Register will only print Appliances with Retest Dates within these two dates.

Edit and Print Sequence

The two buttons, Edit Sequence and Print Sequence allow you to set up and print a sequence of reports. This may save you a considerable amount of time if you always print the same set of reports, especially if you are a PAT testing contractor. In addition to deciding a sequence of reports to be printed, you can set how many copies of each report are to be printed and also to automatically create as set of Adobe Acrobat (tm) documents to be created in a specified folder.

Export

Once you have selected a report and it is visible in the preview area you can of course print it by clicking on the print button. However you can also export the report in the following formats by clicking on the relevant button:

Word - Microsoft Rich Text format (rtf)
Excel - Microsoft Excel format (xls)
HTML - Web page format (htm)
PDF - Adobe Acrobat format (pdf)
Text - Plain text format (txt)
Tiff - Tagged Image File format (tif)

Export And Automatically Attach To Email

PDF - Adobe Acrobat format (pdf)

Clicking this button automatically creates a Adobe Acrobat PDF (tm) document of the currently previewed report and attaches it to an email to your current customers email address.

Sorting Printed Results

Use the combo to select the desired sort order of the reports. Those reports that are dvided into Site and Location, such as the Pass, Fails, Passes and Fails and Regsiter Grouped by Site, are sorted into Site and Location order first and then sorted by the order you have selected. Sort By Retest Date is particularly useful if you are printing the Retests Grouped By Date report.

The Sort Order Appliance Id (Strict) will order the appliances numerically (where possible, i.e. they are numbers) on the Passes and Fails reports and overide the default listing or site and location sort order.

Watermarking Your Reports

You can add a watermark image to appear across your reports for example if you wish to give a prospective customer some example reports, or maybe if you are testing in house and want to mark some reports as a Draft Copy. See Watermarking Your reports.

 

Print

Click the print button to send the report to the printer. You are shown the print dialogue where you can select which pages of the report you want to print, which printer to print to, and, how many copies you wish to print out.

Cancel

Click the cancel buton to close the Print Preview Screen.

NOTE ON EXPORTS:

The export to word actually exports in Rich Text Format which can be opened by the wordpad program on your computer as well as Microsoft Word if you own a copy of it. RTF format cannot place images side by side with text so you may find you need to edit the document to get the desired results. Similarly the Excel and HTML exports will not be able to place images exactly because of the limitations of these programs.

If you have had a custom report created for you by RSR Systems, You will see the following additional option available on the Print Results screen. Use Custom Report.

By default your custom report is loaded and you will see a tick in the Use Custom report field. If you remove the tick from this field then the printing will be displayed using the default SimplyPats layout. As always you will be shown the result in the Print Preview area before you actually decide to print.

If you would like a quote on a custom report for your specific needs, simply draw the layout of your report and email or fax it to RSR Systems.

Freely Downloadable Custom Reports

There are from time to time freely available customised reports available to download from the SimplyPats website or SimplyPats Pat Testing Forum, these include new versions of the Pat Testing Certifcate and Passes and Fails Reports.
